Pre-Listing/ Active Listing Services

  • Draft listing papers prior to listing appointment. 
  • Send listing contract and paperwork to seller(s) through signing system. 
  • Review and submit listing documents to brokerage through Command.
  • Collect any missing documents needed for office compliance. 
  • Add seller(s) into Command Contacts with appropriate tags. 
  • Price changes in MLS and status change form, extensions, withdraw PPW. 
  • Set up Showing Suite (if agent has account) and Supra account. 
  • Create seller(s) account in Realtor.com/Zillow if agent has accounts.
  • Updates every step of the way through our transaction management system. 
  • Open House input. 
  • Order and schedule professional photos.

Listing Contract to Close

  • Obtain listing agreement from Listing Agent.
  • Review contracts for accuracy & compliance.
  • Updates every step of the way through our transaction management system.
  • Prepare full disclosure package including all of the required documents and broker forms and deliver to the agent and/or seller via email, mail, or DocuSign .
  • Contact all parties and introduce our role in the transaction.
  • Send a copy of the contract in a welcome email to seller(s).
  • Email appropriate contract to client & title company.
  • Review Purchase Agreement, Counteroffers, and Addendums to ensure all are fully executed with proper dates, initials, signature, and broker information is completed. Make corrections with additional forms as necessary. 
  • Enroll warranty, if applicable. 
  • Ensure earnest money has been received. 
  • Add all contract dates to agents calendar- inspection date, defects due, appraisal due, closing date.
  • Manage contingencies and deadline follow up throughout the contract process.
  • Complete and execute documents needed for any changes to the contract (i.e Closing date, Modification, General Addendums, etc.)
  • Request copy of inspection and send to agent.
  • Verify appraisal status 
  • Upload documents to opportunity. 
  • Prepare commissions/green sheets.
  • Schedule closing times with client and title company.
  • Review closing documents to ensure accuracy and forward them to clients.
  • Gather and send Preliminary Closing Disclosure to agent upon reviewing.
  • Collect propane prorations if applicable.
  • Instruct seller(s) to transfer utilities, cancel home insurance upon closing, etc...
  • Prepare final paperwork for a successful closing.
  • Ensure final walk through has been scheduled with cooperating agent.
  • Update final information in Keller Williams Command, submit for compliance.
  • Check MLS to make sure the Listing Agent has changed the property to SOLD.
  • Facilitate the delivery of final documents to the seller(s). 
  • Request referrals & client testimonials from seller(s).

Buyer Contract to Close

  • Contract all parties and introduce our role in transaction. 
  • Updates every step of the way through our transaction management system. 
  • Review contract(s), counteroffers, and addendums to ensure all are fully executed with proper dates, initials, signatures, and broker information is completed. Make corrections with additional forms as necessary. 
  • Supply purchase agreement to lender, listing agent, and their Transaction Coordinator, if necessary.
  • Add/update Command Contacts(s).
  • Send contract and coversheet to title company to order title work.
  • Add all contract due dates to agent calendar. 
  • Enroll warranty  if applicable
  • Instruct buyer(s) on where/when to deliver earnest money. 
  • Set inspections - Agent must inform of the chosen inspector and what type of inspections are to be completed. 
  • Manage contingencies and deadline follow-up throughout the contract process. 
  • Complete and execute documents needed for any changes to the contract (i.e. closing date modification, general addendums, etc.)
  • Verify appraisal status - Communicate to agent and buyer(s).
  • Remind agent when Contingency Removals are due. 
  • Upload documents to Opportunities in Command. 
  • Prepare Commissions/Green Sheets in Command. 
  • Schedule closing times with the client and title company. 
  • Review closing documents to ensure accuracy and forward them to clients once agent approves.
  • Schedule and coordinate final walk through with buyer(s) and listing agent. 
  • Send utility information to buyer(s).
  • Answer client questions, remind the selling agent of required funds at the closing table about closing and settlement statement. 
  • Prepare final paperwork for successful closing. 
  • Update final information to Keller Williams Command. 
  • Check MLS to make sure the Buyer Agent is credited for SELL/SOLD BY.
  • Facilitate the delivery of Final Documents to the buyer. 
  • Request referrals & client testimonials from seller(s).
